We’re currently seeking an organized and detail-oriented Accounts Receivable (AR) Administrator to join our Finance and Administration team.

JOB DESCRIPTION:

We are looking for a motivated and reliable AR Administrator to manage our receivables and support key functions in the finance department. As an AR Administrator, you will work closely with project coordinators, managers, and the accounting team to ensure timely invoicing, job costing accuracy, and the smooth running of our financial processes. Additionally, you will assist with month-end and year-end procedures and provide front-desk support as needed.

Key Responsibilities:

  • Receivables Management: Oversee the accounts receivable function, ensuring that all invoices are issued accurately and promptly, and payments are collected in a timely manner.
  • Invoicing & Job Costing Support: Work with project coordinators and managers to support accurate invoicing and review job costing to ensure financial integrity and accuracy.
  • Month-End & Year-End Support: Assist the accounting department with month-end and year-end processes, including reconciling accounts, preparing reports, and supporting the overall financial close.
  • Administrative Support: Relieve front desk reception duties as needed, answering phones, greeting clients, and managing general administrative tasks.
  • Collaboration & Communication: Work closely with the project management and accounting teams to ensure that financial data is accurate, up-to-date, and aligned with company goals.

Qualifications:

  • Previous experience in accounts receivable or finance administration and construction or landscaping industry experience would be an asset.
  • Strong understanding of invoicing, job costing, and financial reporting.
  • Proficiency with accounting software (e.g., experience with QuickBooks or similar platforms).
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and work in a fast-paced environment.
  • Strong communication skills, both written and verbal.
  • A proactive and collaborative team player.
