With manufacturing facilities in Toronto Ontario, Maxxit specializes in design assist, project management, and fabrication of innovative interior and exterior architectural solutions.
KEY ACCOUNTABILITIES
- Greet clients and answer all telephone inquiries
- Maintain and order snacks, lunches and office supplies as required.
- Handle incoming and outgoing mail and packages.
- Generate and send accurate and timely purchase orders and invoices to clients/customers.
- Record and reconcile customer payments using accounting software.
- Monitor accounts receivable balances and follow up on overdue payments.
- Collaborate with other departments to resolve billing discrepancies and address customer inquiries.
- Maintain accurate and up-to-date records of financial transactions.
- Assist in the preparation of financial reports, summaries, and statements.
- Work closely with the Accounts Manager ensure compliance with accounting principles and company policies.
- Build and maintain positive relationships with clients/customers.
- Address billing inquiries and provide timely and effective resolutions.
- Communicate payment terms and policies to customers.
- Enter financial transactions into accounting software with a high level of accuracy.
- Organize and maintain physical and digital filing systems for financial records.
- Generate regular reports related to accounts receivable status and financial performance.
- Provide insights and recommendations based on financial data.
REQUIREMENTS
- High school diploma or equivalent; additional education in accounting or business administration is a plus.
- Proven experience in an office assistant or accounts receivable role preferred.
- Proficiency in accounting software, preferrable Sage
- Proficiency Microsoft Office Suite, especially excel. Knowledge of Smartsheet is a plus.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Attention to detail and accuracy in financial recordkeeping.
- Ability to work independently and collaboratively within a team.
