Description:
JOB SUMMARY:
The role requires a multi-talented professional to manage office administration, handle accounting tasks, and provide personal secretarial support to the CEO. The ideal candidate will have strong organizational, multitasking, and communication skills to efficiently handle a wide range of responsibilities.
EDUCATIONAL QUALIFICATION:
- Bachelor’s degree in Business Administration, Accounting, or a related field.
EXPERIENCE:
- 2–5 years of experience in administration, accounting, or executive Secretory roles.
TECHNICAL SKILLS:
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
- Knowledge of accounting software .
- Familiarity with office management tools and CRM software is a plus.
SOFT SKILLS:
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- High level of discretion and confidentiality.
- Knowledge of French would be an added advantages
Responsibilities:
1. ADMINISTRATIVE DUTIES:
- Oversee day-to-day office operations to ensure smooth functioning.
- Maintain and organize records, documents, and correspondence.
- Coordinate with vendors, suppliers, and service providers for office requirements.
- Manage calendars, schedules, and appointments for CEO.
- Organize and coordinate meetings, including preparing agendas and taking minutes.
- Handle travel arrangements such as booking flights, accommodations, and transportation.
2. ACCOUNTING TASKS:
- Maintain accurate financial records, including accounts payable, receivable, and general ledger entries.
- Prepare and process invoices, receipts, and other financial transactions.
- Assist in budget preparation, financial forecasting, and reporting.
- Reconcile bank statements and resolve discrepancies.
3. PERSONAL SECRETARY RESPONSIBILITIES:
- Provide confidential support to the CEO, handling sensitive information with discretion.
- Act as the first point of contact for correspondence and phone calls for the CEO.
- Draft emails, reports, and presentations on behalf of the CEO.
- Perform personal tasks for management, including scheduling personal appointments, managing household matters (if required), and handling personal errands.
- Organize and prioritize tasks and deadlines to optimize the CEO’s time.
- Handle confidential information with discretion.
- Coordinate special projects and assignments as required.
