JOB SUMMARY

The Administrative Clerk provides support to the Purchasing department by performing a variety of clerical and administrative tasks. This role is crucial in ensuring the smooth operation of the department, assisting in documentation, communication, and organization.

QUALIFICATIONS

  • High school diploma or equivalent; Associate’s degree in business or related field preferred.
  • 1-2 years of experience in an administrative role, preferably within a purchasing or supply chain department.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.

Responsibilities:

  • Maintain and update records, databases, and filing systems within the purchasing department.
  • Prepare, organize, and distribute purchase orders, invoices, and other related documents.
  • Answer and direct phone calls, emails, and other forms of communication.
  • Assist in coordinating meetings, appointments, and schedules for the purchasing team.
  • Handle administrative tasks such as photocopying, scanning, and data entry.
  • Monitor inventory levels and coordinate with the purchasing team to replenish stock as needed.
  • Assist in tracking the status of orders, deliveries, and payments.
  • Provide support for special projects and other administrative tasks as required.
