JOB SUMMARY
The Administrative Clerk provides support to the Purchasing department by performing a variety of clerical and administrative tasks. This role is crucial in ensuring the smooth operation of the department, assisting in documentation, communication, and organization.
QUALIFICATIONS
- High school diploma or equivalent; Associate’s degree in business or related field preferred.
- 1-2 years of experience in an administrative role, preferably within a purchasing or supply chain department.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.

Responsibilities:
- Maintain and update records, databases, and filing systems within the purchasing department.
- Prepare, organize, and distribute purchase orders, invoices, and other related documents.
- Answer and direct phone calls, emails, and other forms of communication.
- Assist in coordinating meetings, appointments, and schedules for the purchasing team.
- Handle administrative tasks such as photocopying, scanning, and data entry.
- Monitor inventory levels and coordinate with the purchasing team to replenish stock as needed.
- Assist in tracking the status of orders, deliveries, and payments.
- Provide support for special projects and other administrative tasks as required.
