Responsibilities:

  • Follows all relevant Administration instructions so that work is carried out in a controlled and consistent manner.
  • Follows the day-to-day operations related to own jobs in the Administration to ensure continuity of work.
  • Exchanges information and/or clarifies facts by telephone or in person, acting as the contact point for enquiries to ensure availability of data.
  • Identifies and reports on problems or discrepancies and makes suggestions for improvement in a special area.
  • Organizes and maintains files of manager’s correspondence, records, etc., following up on pending matters to ensure effectiveness of executions and efficiency of decisions.
  • Acts as a receptionist for the manager, screening telephone calls, letters, and/or visitors, answers routine questions, and furnishes information, when possible, to save the manager’s time.
  • Prepares regular reports, gathering, and summarizing data to keep managers up to date with the department status and the need for related actions.
  • Deals with other entities to expedite all basic outstanding issues.
