DEPARTMENT DESCRIPTION

UCSF’s Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

REQUIRED QUALIFICATIONS

  • Thorough knowledge of common organization-specific and other computer application programs (i.e. Microsoft Office, including Outlook, Word, Excel and PowerPoint and familiarity with Adobe and DocuSign).
  • Solid analytical/ problem-solving skills.
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
  • Strong service orientation.
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbal and in writing.
  • Bachelors degree in related area (or equivalent work experience) and three or more years of related experience or the equivalent combination of education and experience / training.

PREFERRED QUALIFICATIONS

  • Familiar with the organization’s processes, protocols and procedures.
  • Experience working in development/fundraising organizations

Responsibilities:

  • Administrative Coordination:
  • Manage, plan, and administer administrative operations within the VC/AVC unit.
  • Coordinate the AVC’s activities at a high level.
  • Act as a primary filter for information, correspondence, and requests.
  • Delegate tasks and work with team leadership to ensure efficient workflow.
  • Manage and track assigned projects through to completion.
  • Communicate on behalf of the AVC and VC/AVC unit with internal and external stakeholders.
  • Donor Relations and Fundraising Support:
  • Develop and prepare reports for donors and funding.
  • Update donor database with contact reports.
  • Interface with gift administration and resolve issues.
  • Respond to donor inquiries and ensure timely resolution.
  • Financial and Staff Reporting:
  • Gather, analyze, prepare, and summarize staff and financial reports.
  • Process vendor purchase orders, invoices, and employee expense/travel reimbursements.
  • Manage communications related to financial services and vendor projects.
  • Communication and Liaison:
  • Act as liaison between the VC/AVC unit and campus constituencies.
  • Research and analyze issues to provide recommendations.
  • Produce documents for internal and external audiences, adhering to UCSF brand identity standards.
  • Meeting and Event Support:
  • Manage the AVC’s calendar and support complex scheduling needs.
  • Coordinate materials for meetings and engagements.
  • Arrange and schedule travel for team business activities.
  • Provide logistics support for meetings and events, ensuring all needs are met.
  • Manage event logistics, including IT/AV requirements, catering, staffing, and other arrangements.
    The final salary and offer components are subject to additional approvals based on UC policy.
    Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
