Description:

DO.II Designs Limited focuses on furniture manufacture, interior design, space planning and turn-key remodeling projects for the high-end residential, property development, hospitality and corporate market.
We are recruiting to fill the position below:

ACADEMIC QUALIFICATIONS

  • B.Sc / HND in Business Administration or related field
  • A Higher qualification is a plus

Work Experience:

  • Minimum of 2-3 years of relevant experience
  • Proven work experience in an administrative role

Required Skills & Competencies:

  • Good knowledge of Administrative and Facility Management
  • Knowledge of ERP
  • Proficiency in microsoft Office Suite
  • Exceptional planning and time management skills
  • Strong negotiation skills
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Strong organization skills with a problem-solving attitude

Responsibilities:

  • Supervise administrative staff and coordinate daily activities, ensuring the facility is clean at all times.
  • Manage office supplies, inventory, and procurement as necessary for efficient operations.
  • Ensure proper utilization and maintenance of diesel, inverter, generator, and government-supplied power.
  • Manage and process all admin requests.
  • Oversee the maintenance of the facility, including cleanliness and safety.
  • Liaise with the operations team to engage and onboard blue collar staff.
  • Coordinate repairs and maintenance, ensuring minimal downtime.
  • Monitor staff attendance, providing monthly, quarterly and annual reports.
  • Liaise with vendors and contractors for facility maintenance and repairs.
  • Ensure proper power management to minimise power cost.
  • Negotiate with vendors to obtain favourable terms, such as price reductions or extended payment terms.
  • Ensure timely renewal of licenses and vehicle particulars.
  • Monitor expenses and ensure cost efficiency.
  • Process staff overtime, inconvenience allowance and out of town allowance
  • Ensure compliance with company policies and relevant regulations in all administrative and facility-related activities.
  • Develop and carryout an efficient documentation and filing system.
  • Prepare and submit regular reports on administrative, diesel usage and facility-related issues to line manager.
  • Any other task as assigned by the Head HR & Shared Service
