JOB DESCRIPTION

In this job, you will be joining a growing company, who’s operations team are growing at a rapid rate. We are seeking an organised and tech-savvy Admin Operations and IT Officer to support the smooth running of our day-to-day operations. This role is responsible for ensuring our office technology infrastructure is operational, managing IT procurement, and assisting with administrative tasks, including CRM management and visa support. The ideal candidate will have a combination of administrative, operational, and IT skills, ensuring all systems and processes run efficiently.

EXPERIENCE

The ideal candidate will possess:

  • Proven experience in an administrative or operations role, with a strong understanding of IT systems and technology.
  • Proficiency with CRM software and other business administration tools.
  • Strong technical skills, with the ability to set up and troubleshoot basic hardware/software issues.
  • Excellent organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
  • Strong communication skills, both written and verbal, and the ability to assist staff at all levels.
  • Ability to handle sensitive information and maintain confidentiality, particularly in relation to visa and employee records.

Responsibilities:

  • Set up and configure laptops and mobile devices for current and new employees
  • Monitor and manage IT hardware (laptops, phones, etc.) ensuring all necessary devices are available and fully operational
  • Research and recommend IT hardware/software purchases, coordinating with suppliers to procure laptops, phones, and other necessary technology
  • Provide technical support for staff on IT-related issue, troubleshooting and resolving problem as they arise
  • Maintain systems, ensure security updates are applies, and manage internal software tools
  • Plan strategy and ensure goals on track
  • Create a warm and welcoming office experience for internal and external visitors
  • Oversee CRM system, ensuring all data is entered accurately and is up-to-date
  • Assist with day-to-day administrative duties to support the smooth operation of the office
  • Support the Visa Department in preparing and filing visa paperwork during busy periods, ensuring timely and accurate submissions
  • Maintain office inventory (including IT devices) and manage the ordering of supplies as necessary
  • Act as a point of contact for staff requiring general administrative assistance or IT- related support
  • Assist with scheduling and coordinating staff meeting, conferences, and other operational events
  • Support the broader operations team in maintaining office policies and procedures
  • Manage documentation and ensuring all necessary operational records are organised and easily accessible
