Description:
Responsibilities :
- Organize appointments for customers
- Handle phone calls and correspondence (e-mail, letters, packages etc.)
- Preparation of quotations, invoices, apply work site permits (when applicable)
- Reach out to vendors for quotation and order placement
- Supervise administrative staff and divide responsibilities to ensure performance
- Overseeing all administrative and operational duties
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Create and update records and databases with personnel, financial and otherdata
- Submit timely reports and prepare presentations/proposals as assigned
- Track stocks of office supplies and place orders when necessary
- Filing of documents
- Any ad hoc duties as assigned by the Manager / Director
Requirements :
- Initiative, willingness to learn, self-discipline and able to work independently
- Organized, meticulous and observant to details, especially to numbers when dealing with invoice and payment matters
- Good telephone etiquette, execellent oral and written communication skills
- Proven experience as an office administrator or relevant role
- Solid knowledge of office management procedures
- Good with Microsoft Office, Word and Excel
- Minimum with 2 years working experience
- Start work immediate or within short notice
- Small office environment
- CANDIDATES WITH EXPERIENCE IN AIRCOND COMPANY WILL BE AN ADDED ADVANTAGE
- 5.5 days work week with a lternate Saturday
