We are seeking a detail-oriented and organized Administrator/Finance Specialist to join our team. This role is essential for ensuring smooth operations and maintaining accurate records. The ideal candidate will be responsible for processing company payments, managing financial bookkeeping, processing invoices, and sourcing vendors for building projects.

QUALIFICATIONS:

  • Diploma or equivalent; associate’s or bachelor’s degree preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in MS Office (Word, Excel, PowerPoint) and other relevant software.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Discretion and confidentiality in handling sensitive information.

Responsibilities:

  • Manage and organize office operations and procedures.
  • Answer and direct phone calls; greet and assist visitors.
  • Maintain filing systems, both electronic and physical.
  • Prepare and manage correspondence, reports, and documents.
  • Schedule and coordinate meetings and appointments.
  • Assist with bookkeeping and invoicing as needed.
  • Support team members with administrative tasks and projects.
  • Maintain office supplies inventory and place orders as necessary.
  • Assist with the onboarding of new employees and training programs.
