Description:
HOW YOU’LL MAKE A DIFFERENCE
You will be the first point of contact for the reception area at the Council main Office site at Badmnton Road and may occasionally provide reception cover at Bristol & Bath Science Park. Welcoming visitors to the Council, you will be greeting individuals in person or on the telephone and dealing with incoming enquiries. Working as part of a team you will perform admin, post and print room duties, alongside the reception cover for the team.
WHAT WE NEED FROM YOU
- You will hold a minimum of 4 GCSE’s (Grade C or above) to include English and Mathematics or their equivalent.
- As this is a public facing role, you must have strong interpersonal skills to deal with customers and colleagues courteously, with relevant experience of working in an office setting and a busy reception environment.
- It is essential that you are a confident user of information technology and have experience of the Microsoft Office suite (including Outlook, Word, Excel and Power point software) and computerised printing systems.
- We require you to use initiative to solve day to day problems and have the initiative and judgement to identify problems and raise them with senior colleagues as appropriate.
- It is essential that you have good verbal and written communication skills and a strong focus on customer needs.
- We require you to be able to handle confidential information appropriately, with an awareness of the Data Protection Act and how it relates to the role.
- You must have good numerical skills to appropriately record, updates records, process financial payments/invoices and control volumes of items processed.
Responsibilities:
- Working in a team, you will provide cover for the reception area, welcoming visitors and greeting them in person or on the telephone.
- On a daily basis you will answer enquiries and provide customers with basic information and advice, answering or referring enquiries, ensuring customers have a positive welcome and that courteous customer service is given.
- You will be responsible for administrative tasks to support the appropriate update and use of various corporate back-office systems including buildings and car parks access, meeting room bookings, and purchase of corporate stationery.
- In the role you will carry out standard and routine clerical electronic processing for electronic mail and receive, log, date stamp and distribute Royal Mail post and parcels, notifying of arrival & distribution on site.
- You will provide back-office support, and clerical tasks to support various facilities such as pool car bookings by staff, buildings access control, meeting room bookings, ID badges and purchase of corporate stationery.
