Job Title: Administration Assistant – Delegated Authority
Location: Bridgend
Position Type: 35 hours p/w, permanent
Hybrid: 3 days in the office, 2 days working from home

Job Purpose:
Supporting the Delegated Authority Team in London, with data entry and general administration, to assist in ensuring compliance with TMHCC International’s Delegated Authority Framework for all applicable arrangements falling within the London Market, Specialty and J Business divisions. This includes: A&H, Aviation, Delegated Property, Energy, Financial Lines, HCC Specialty, Marine (including Hull, Cargo and Liability), Professional Risks and Credit & Surety.
This role is internally known as ‘Delegated Authority Assistant’.

Key Responsibilities:

  • To assist the Delegated Authority Team across the London Market, Specialty and J Business divisions, to accurately maintain the Customer Relationship Management (‘CRM’) system, which houses a central database for all third parties. Data to manage includes Coverholder and Binder records, Audits and Recommendations, and Lineslip and Master Policy information.
  • To assist with the Lineslip renewal process, ensuring Lineslip entry in CRM is up to date and all required signoffs and signed agreements have been obtained.
  • To assist with the Lineslip QC process (using the data to check for any procedural breaches and carry out additional checks on renewing agreements) as well as other DA monitoring activities.
  • To attend (virtually) audit report review meetings with the Delegated Authority Team members and Underwriters and create the audit recommendations letters to be sent to Coverholders.
  • To assist the Delegated Authority Team obtaining signed binding authority agreements once Compliance Approval has been agreed either through access to the relevant document repository system or via the underwriters.
  • To provide the Bordereaux Manager in Bridgend with upcoming renewing Binders to be entered into the VIPR DA Bordereaux Management System and run reports from CRM to notify the Bordereaux Manager of any agreement changes.
  • To assist the Delegated Authority Team with the Coverholder Financial Review process. Ensuring financials have been uploaded and review templates have been created for finance to complete as and when requested by the team.
  • To assist in the continuing development of the CRM system to ensure that it remains an effective third-party oversight system.
  • To provide support to the Delegated Authority Analysts gathering required coverholder compliance procedures and financials from the Lloyd’s Atlas system in advance of upcoming renewals, especially during busy renewal periods.
  • To review the Lloyd’s DCOM system and inform the Delegated Authority Analysts of any tasks which require actioning
  • To keep our panel of auditors up to date and carry out the annual auditor due diligence and maintain the audit records within CRM.
  • To keep up to date with all regulatory and Lloyd’s updates and changes affecting the Delegated Authority market.
  • To run monthly and ad-hoc reports as requested by the Delegated Authority Manager.
  • To provide support when required to the Delegated Authority Analysts on any administrative tasks when completing the Coverholder and Binder Agreement due diligence reviews.
  • To complete ad hoc Compliance and Delegated Authority tasks as requested by the Head of Delegated Authority, Delegated Authority Manager or Delegated Authority Analysts.
  • To build and maintain a strong relationship with the DA Team in London.

  • Proven ability to take ownership of workload and upcoming tasks, delivering assigned tasks within agreed timeframes

Skills and Experience Specification:

Essential:

  • A-C in Maths and English to at least GCSE level or equivalent.
  • Experience working as an Administrator or in a similar role
  • Strong IT skills and confident learning new systems
  • Can-do attitude with experience of working to deadlines
  • Excellent Organisation skills
  • Confident Communicator
  • High attention to detail

Desirable:

  • Excel skills and/or willing to learn
