Description:

Ergon Refining currently has an opening for an Administrative Assistant to Process Technical Services, the Administration Assistant position is a clerical support staff position for the Process Technical Services (PTS) Department. The Administrative Assistant coordinates and manages Process Technical Services administrative activities, including purchasing, notifications, and time keeping.

REQUIREMENTS:

  • High School Diploma or equivalent
  • Previous reception/administrative assistant work experience is desired
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office including Word, Excel and PowerPoint
    Must be able to pass a pre-employment drug screen and background check. A clean MVR is required.

Responsibilities:

  • Always keep safe work habits as the highest priority
  • Always maintain a clean and well-organized workspace
  • Strive to develop good working relationships with all co-workers, customers and associates
  • Manage attendance records for all hourly personnel in the PTS Department including vacation schedules, absenteeism, etc.
  • Generate and maintain weekly payroll for all PTS hourly personnel in Kronos software
  • Compile, reconcile, and manage information monthly for PTS and QA Laboratory P-Card and PTS manager expenses/purchases through SAP Concur software
  • Assist PTS staff with maintenance notifications, warehouse reservations and purchase requisitions in SAP software
  • Manage creation and updates to controlled documents for all PTS department, including technical writing, editing, reviewing, and submission to document control. This may include job shadowing to document proper steps for standard operating procedures
  • Maintain inventory for PTS office supplies in both Administration and the Laboratory building
  • Maintain and audit inventory for QA laboratory using the inventory tracking software restocking supplies as needed.
  • Responsible for service and repair calls on office equipment, including printer/fax/copy machines, including toner and paper stock
  • Distribute department weekly staff meeting notes
  • Route sign-off forms for PTS group for department safety meetings and similar training requirements
  • Coordinate in-office meals for department work-related lunch meetings
  • Assist with updates to the Organization Chart for Process Technical Services as needed
  • Staff clerical support with copying, compiling, binding, and distribution
  • Assist with reviewing and distribution as assigned for customer COAs
  • Cover front desk reception area one week per month and as-needed additional coverage during times when the front desk receptionist is out
  • Assist in the preparation and execution of laboratory audits
  • Manage the upkeep of the lab’s electronic logbook
  • Assist lab supervisor with scheduling and management of lab personnel scheduling software
  • Scheduling and coordination of interviews for open positions
