CONSTRUCTION ADMINISTRATION MANAGER

ABOUT THE OPPORTUNITY
We’re seeking a dedicated and enthusiastic individual to join our team as Construction Administration Manager. You will join an engaged, collaborative and dedicated team within a new and vibrant office fit out. This role is part-time and may suit school hours.
As the Administration Manager, you will play a crucial role in maintaining our high standards. You will be responsible for overseeing all office activities, including job and financial management systems, as well as client and subcontractor documentation. This role requires a highly organised individual with excellent communication skills and experience in office administration.
THE FOLLOWING SKILLS/EXPERIENCE WOULD BE AN ADVANTAGE, BUT ARE NOT ESSENTIAL:
- Experience using Ascora job management software
- Previous experience in the building industry
Responsibilities:
- Multi-tasking and supporting other staff and clients
- Handle inbound and outbound calls, providing exceptional service and addressing inquiries or concerns professionally
- Maintain records and documentation related to projects and client communications. Ascora and Xero experience is desirable, but not essential as we can provide on-the-job training
- Coordinate subcontractor onboarding process, ensuring all necessary documentation is completed
- Develop and implement office policies and procedures to improve operational efficiency
- Liaise with the Director and Operations Manager to report on office activities and address any issues
- Work alongside Operations team to follow up on leads and assist with building rapport
- Organise and manage office supplies to ensure a smooth-running office environment
- Foster a positive and productive work environment, promoting teamwork and collaboration among office staff
- Be the Champion of our project management systems updates
- General administration support – email and phone support
