What you will be doing
Administration Manager - South Normanton and Nottingham SC’s
1 year maternity cover - fixed term
Salary: Competitive
Hours: 40hrs per week - 0830 - 1700
Job Purpose:
As part of the Site Management Team, you will work closely with the Nottingham Service Centre operations team to support our suppliers and Customers, this role provides managing your own team whilst at the same time undertaking varied tasks provided as part of your development by the Service Centre Manager.
Working within the wholesale division, you will be responsible analysing, processing and actioning real time performance data, ensuring Good Distribution Practice (GDP) compliance, providing annualized hours follow-up, and driving Health and Safety adherence, this role supports improvements in site standards through the development of new processes & efficiencies. This role is extremely varied, with no two days the same.
All staff are expected to understand the principles of Good Distribution Practice of Medicinal Products for Human Use (2013/C 68/01) which is reflected in our SOP – REF Chapter 1 AHDL GDP 1.1. It will be a requirement for all staff to be trained in this SOP and have an annual refresher. All other GDP training will be job specific and as per your personal training matrix.
Key Accountabilities
 Implementing standards and robust process’ for the Service Centre in accordance GDP compliance, Health and Safety, Annualised hours and existing linked Boots contracts
 Analytical reporting of the Service centre People KPI’s and all financials in a timely manner.
 Manage the performance and activities of Team Members through the use of objectives, KPI’s, briefings, absence management, with a primary focus on cost control, training, coaching and Team Member Wellbeing to promote a culture of continuous improvement
 To actively endorse, promote and manage our IIP culture and status though but not exclusively annual Performance Reviews, regular 121’s, training and if applicable succession planning
 To monitor and report to the Service Centre Manager weekly on colleague and agency FTE to aid control of site targets.
 Analyse expenditure of labour, discretionary and non-discretionary spend. Reporting all spend that falls outside an agreed target.
 In conjunction with the Management Team prepare annual labour, discretionary and non-discretionary budget submission.
 Analyse and report on approved annual budget in comparison to budget submission.
 Have an understanding of the sites run rate and proactively report un-budgeted spend.
 In conjunction with senior management, prepare and submit relevant data pertaining to the sites people performance, absence and disciplinary.
 Prepare and maintain audit sheets and maintenance records for site critical equipment to ensure site EUGDP compliance.
 To ensure all contractors are fully compliant and able to work on site, ensuring site inductions are carried out.

Additional Information:

  • All Management roles within the Service Centre will need to be “on call” for emergency situations
  • All Management roles within the Service Centre will need to participate in a weekend working if required
