Description:

An exciting opportunity has arisen for an individual to join the Secure Care Forensic Community Administrative Team within Secure Care Services.
This is a dual role that involves working alongside a small team of administrators providing admin support to the Forensic Community (FCS), whilst also providing a comprehensive service to the Forensic Outpatient Department, which operates 8am – 4pm, Monday - Friday. The role will also include some working into the Criminal Justice Liaison Diversion (CJLD) team and the CNTW & NPS Offender PD Consultation & Community Intervention Service.
The post holders will provide a proactive, comprehensive administrative service and must have proven experience of wo rking in similar work environment.

KEY ADMINISTRATIVE SKILLS:

Secretarial experience working within a team.
Experience in a customer / patient and service user focused environment
Excellent communication and interpersonal Skills – Reception duties
A good understanding of the RIO system (not essential as training given to those who have not worked on this system before)
A good knowledge of Microsoft word/office packages and typing qualifications
Good verbal and written communication skills – dealing with patient queries

Demonstrate flexibility in the role
The role will be a varied, with no two days the same and we require someone who is able to use own their initiative, work under pressure, keep to strict deadlines and have excellent organisational, interpersonal and communication skills.
The post holder will report directly to the Administration Manager but work closely with the Clinical Team on a day to day basis.

Responsibilities:

Minute taking at clinical meetings i.e. Care Co-ordination Reviews, clinical team meetings
Working from a shared central inbox
Typing letters, compiling reports and completing referral forms
Diary management including room allocations
Reception and relational/environmental security duties supporting staff, patients and visitors
Issuing and maintaining security equipment i.e. Key cards, SAS alarms, and using a variety of systems that are part of the security processes at the hospital. This is in line with Local Operational Procedures (LOP).
Monitoring entry and exit to the building i.e visitors, service users, carers, items being brought into the unit, working closely with a variety of other staff.
Checking equipment is operating as required i.e., radios, blick alarms etc.
Coordinating the testing of radio frequency & function for the Site Response
Completing security checklists with estates, facilities staff and external contractors i.e. equipment or tool count
Escorting and chaperoning visitors & contractors
Supporting with “lock down” in line with Trust Policy and Local Operational Procedures. This may include monitoring flow through the building, managing access and egress of the response team, first responders or the emergency services
Working with the Forensic Community Service Team Manager to ensure qualities and standards are met within the Forensic Out-Patient Department
