Description:
About the role
- Provide an effective and efficient general administrative support service for the Specialist Children’s Oral Health Services (COHS) thus contributing to the provision of quality patient services and care.
- Provide assistance with employee rostering and leave management coordination and daily reallocation of unplanned leave. Undertake Payroll Audits to ensure leave takings and attendance accuracies in line with policy.
- Provide timely, accurate and high standards of administrative support to oral health leaders within the various service lines of Metro North Oral Health Services (MNOHS).
- Ensure that appropriate payroll, rostering and leave information is provided to Line Manager(s).
- Provide a high level of customer service, demonstrating understanding, empathy, patience and a positive attitude.
- Work effectively and efficiently as a team member within a multidisciplinary team in a changing environment and contribute to quality improvement activities.
About you
This successful applicant will carry out the following key accountabilities in accordance with the Metro North Health’s values:
- Provide high quality administrative services, which may include written and verbal communication such as processing correspondence/generic email accounts, answering telephones and handling enquiries, preparing patient letters, scheduling appointments, and undertaking secretarial and financial related tasks.
- Provide office management support including receipt of delivery and appropriate storage of goods, maintenance and ordering of stationery supplies and office consumables, and ordering stamps for staff.
- Manage the appointment scheduling process within all modalities, including appointments, cancellations, rescheduling and liaising with clinical and administrative teams as appropriate.
- Construct, maintain, edit and upload rosters within the Information System for Oral Health (ISOH) as part of a broader administrative team.
- Construct and maintain leave planners and roster templates, including providing support in the unplanned leave process and daily roster adjustments.
- Use financial systems (S/4 HANA) for data entry of general ledger accounts for invoice requisitions and prepare financial accounts and data entry for payment for divisional facilities, including outsourcing vouchers and invoices.
