Responsibilities:
OVERVIEW OF ROLE:
Our Administration Team Lead and their team provide end to end administration support to the hospital and its functions. The Administration Team Lead will have the ability to lead, guide and supervise administration staff and to successfully manage patient administration services on a day-to-day basis.
PRIMARY DUTIES AND RESPONSIBILITIES:
Managerial / Supervisory Responsibilities
Reflect the mission of UPMC Aut Even Hospital in performance of duties and attitude.
Management of the Administration Departments ensuring that patient and client requests are dealt with in a professional and efficient manner.
To review and analyse current work flow and where necessary develop a system of change to ensure a more effective and efficient method of work.
To manage the implementation of new processes and systems within departments while ensuring the needs of the department are met on a daily basis.
To promote a strong team based approach to the change agenda to ensure its success.
To plan, manage and co ordinate all resources within all departments.
To plan and prioritise the needs of the service to ensure the efficient operation of the department.
To delegate duties and responsibilities ensuring that the needs of the service are met at all times.
To abide by Hospital Polices, Procedures and guidelines.
Be aware of Fire Policy and Health & Safety within the Hospital
Duties & Responsibilities to the Medical Records Department
To implement best practice throughout medical records service in all Hospital Departments.
To carry out the role of standard lead in JCI Accreditation process, i.e., review, develop and implement policies, procedures and guidelines within the chapter of ‘Management, Communication and Information’.
To participate and carry out what is required in the Quality and Risk management agenda within the organisation.
To consult with relevant Administration personnel on suggested improvements to current work practices in relation to the management of the Medical Records Department.
Duties and Responsibilities Administration Supervisor
The individual will be responsible for the management of the following staff members: Reception, Admissions, Medical Secretaries Medical Records and Ward Clerks.
To train and up skill relevant administration personnel on recommend changes to ensure an effective and efficient service.
To plan, manage and co-ordinate all resources within all Departments under the remit of the role.
