Description:

Are you detail-oriented with a passion for ensuring accuracy and efficiency in onboarding processes? We are seeking an Administrative Account Specialist to join our Finance Shared Services team where you’ll play a critical role in setting our consultants up for success.
In this role, you will be responsible for overseeing comprehensive onboarding activities, verifying legal documentation, and ensuring consultants are set up with accurate payment information in a timely manner. You will also assist with employment verification requests, letter of employment requests, and will provide exceptional support to the Shared Services, Consultant Pay Group, and Payroll teams.

EXPERIENCE:

  • College or university degree or 1-3 years of experience in the staffing industry, onboarding contractors/consultants, and processing letters of employment
  • Staffing Industry preferred
  • Knowledgeable of contractor/consultant payroll requirements and pay cycles
  • Consultant legal documentation compliance knowledge
  • Intermediate Excel skills with the ability to run and understand macros, pivot tables and other formulas, as required.
  • Other areas related to accounting an asset.

Responsibilities:

  • Ensure all consultants of varied legal status are onboarded and set up with accurate payment information prior to contract start date.
  • Ensure all contract details in our databases (MatchGuide and Great Plains) are correct, are supported by complete and accurate legal documentation, and are verified prior to the start date of the contract.
  • Provide employment verification and contractor reference letters.
  • Assist the team in assigning clicK tickets delegated to the CPG team
  • Respond to consultant and internal communication regarding onboarding queries.
  • Participate in projects or initiatives, as assigned by the management team, in accordance with strategic goals and objectives.
  • Work to collaborate with the team and broader finance department to increase camaraderie, efficiency, automation, and scalability.
  • Respond to a variety of consultant and internal onboarding requests and/or inquiries in a timely and accurate manner (as per the agreed upon SLAs) by providing requested information and effective and pro-active solutions and responses.
  • Assist the team and act as a back-up when other team members are away.
