Description:

MINIMUM EDUCATION AND EXPERIENCE:

Successful candidate will possess a bachelor’s degree in business or public administration, accounting, finance or a related field; two years of experience in providing professional-level administrative, analytical and/or operational support in the assigned area of responsibility; or an equivalent combination of training and experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

Must have project management experience. Effective use of computers and current technology. Proficiency in Excel, Outlook, and OneNote. Ability to work independently or as a key part of a team. Ability to work in a fast-paced environment while paying attention to detail. Working knowledge of the policies, principles and standards of public administration, generally accepted accounting principles, budgeting, and procurement. The ability to establish and maintain cooperative and effective working relationships. Proven organizational and problem-solving skills. Ability to manage multiple activities with competing priorities. Grant monitoring and administration competencies. Administration of contractual agreements. Ability to analyze organizational and administrative issues as well as recommend and implement an effective course of action. Communicate effectively orally and in writing. Ability to develop and maintain effective working relationships with internal and external customers. Ability to analyze and provide reports for statistical and financial data.

The library currently has an opportunity for a full-time Administrative Analyst. We are looking for someone to assist in effectively executing the administrative functions of our Library Administration.

  • The Administrative Analyst performs professional, technical, financial, and administrative duties in the areas of grants; accounting; purchasing; facility maintenance, safety, and improvement; and special project coordination as assigned.
  • Provides confidential staff assistance to higher-level management to provide and support various teams and committees with research and analysis.
  • Provides assistance in carrying out selected policy and practice implementations.
  • Prepares and administers contracts for projects and programs for all four major budget areas of the library.
  • Provides confidential administrative support to Chief of Administrative Services when needed to include sensitive reports, correspondence, memoranda or other organizational information.
  • Maintains a high level of professionalism and confidentiality.
  • Coordinates and implements special projects as assigned.
  • Serves on various teams to improve/implement services as assigned.
  • Analyzes, reconciles, prepares reports, and monitors several operating accounts.
  • Researches, compiles, analyzes, and prepares a variety of administrative reports.
  • Prepares and processes invoices and other financial documents.
  • Serves as the security liaison and back up timekeeper.
  • Perform other work as required.

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS: Work is performed in library office, library locations and other professional settings; extensive use of computers and devices required. Sedentary to light physical requirements which may include, sitting, standing, walking, reaching, pushing, pulling, lifting, fingering, grasping, repetitive motions, talking, hearing, visual acuity to perform an activity such as preparing and analyzing data and figures; viewing a computer terminal and reading; not substantially exposed to adverse environmental conditions.
