- Bachelor’s degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
REQUIRED QUALIFICATIONS
Working knowledge of general practices, program, and/or administrative specialty. Basic knowledge of and ability to apply fundamental concepts. Working knowledge of budget policies and procedures.

Responsibilities:
Under general supervision:
- Perform duties related to the overall analytical and operational support of the Palm Desert Campus (PDC) Student Health Center (SHC) and Counseling & Psychological Services (CAPS). Responsibilities include, but are not limited to, fiscal and budgetary analysis and maintenance, program and policy research, development, implementation, and evaluation.
- Contribute to the administrative planning and coordination of multiple priorities for the SHC and CAPS. May provide lead direction and assistance to other administrative members and student assistants.
- Interpret, analyze, and exercise sound judgment of policies and procedures to address a wide range of problems, utilizing precedents to determine appropriate solutions. Some ingenuity may be required to meet new needs.
- Collaborates on administrative activities with the SHC and CAPS team members and PDC administrative leadership.
- Assist with training to all levels in standard office procedures and support with the implementation of new policies when necessary.
- Serve as a liaison and representative for SHC and CAPS administration at PDC functions and PDC leadership information requests.
- Facilitates communication between the Palm Desert Campus and San Bernardino (SB) Campus regarding policy and procedural issues and helps to implement changes. May provide recommendations for best practice solutions.
- Regular evaluation of all operations ensuring that goals and metrics are being maintained and met.
- Responsible for prioritization and assists with implementation of policies and procedures related to front office operations.
- Provide administrative support and consultation to SHC and CAPS providers and other professionals at PDC regarding questions and issues, utilizing working knowledge of related university policies and procedures.
- Maintain medical records and collaborate with SB medical records staff when records requests are received.
- Provides data and relevant information for PDC operations concerning all office functions that contribute to report preparation. Offers guidance and assistance to the SB campus when necessary.
- Receives and forwards suggestion box comments to appropriate administrator.
- Compile, write, and present statistical information for reports and presentations.
- Collaborates with SHC, CAPS, and other departments on special projects, including but not limited to:
- Nursing Program student physicals
- Facilitates discharge planning and collaboration with off-campus resources
- Facilitates periodic student/patient satisfaction and other surveys
- Collaborates with SHC and CAPS staff to identify low- and no-cost community referrals
- Represents SHC and CAPS at various campus and community events in the Coachella Valley and PDC campus
- Performs day-to-day operational and analytical functions of the SHC and CAPS at PDC, including but not limited to, working with leadership to assess and monitor facilities and equipment needs and issues.
- Collaborates with the medical staff to ensure that medical equipment is available and in good working order.
- Maintain and monitor all activities related to purchasing and inventory, ensuring speedy payment and restocking of items to ensure smooth operations.
- Work requires independent judgment and ability to interpret university policies and procedures to provide guidance to providers and other SHC and CAPS staff at PDC in preparation of travel authorizations and purchasing activities; provides assistance to SB campus operations when necessary.
- Compile, write, and maintain tracking and inventory reports for all administrative supplies; order, track, and receive supplies to ensure smooth operations. Assist with tracking and monitoring medical equipment and supply inventory as needed.
- Collaborates with SB SHC and CAPS Budget Analyst to analyze data using business mathematics and statistical techniques to maintain and track account expenditures. Process petty cash disbursements, hospitality and direct expenditure forms, and procurement card orders, ensuring appropriate billing of augmented services and laboratory liability deposits. Ensures all expenses are accurately tracked and accounted for to reflect correct budgetary tracking and make accurate projections.
- Under general supervision, assists with procedure and policy development related to purchasing and other activities that benefit operations at both the PDC and SB campuses.
- Serves as back up for all purchasing and related activities for SB SHC and CAPS.
- Maintains effective working relationships and serves as the main point of contact for PDC related purchasing activities. Meets with vendors, requests information and ensure all necessary documents are prepared for related purchasing activities in consultation with SB SHC and CAPS Budget Analyst. Provides back up support to SB SHC and CAPS for these activities as needed.
- Assists with administrative functions for departmental employee searches.
- Provides back up for scheduling student and patient appointments, and assists with the SHC and CAPS scheduling systems and templates. Provides guidance and support to SB campus when necessary.
- Participates in the re-accreditation processes for SHC and CAPS.
- Promote SHC and CAPS services at PDC through resource fairs and other activities; serves on relevant committees.
- Engage in professional development activities.
- Performs other SHC- and CAPS-related duties as assigned.
- Complete all department and university required trainings as assigned.
- Designated back up for scheduling and purchasing for SB operations.
- Other classification related as assigned.
