ABOUT THE POSITION:

We are seeking an enthusiastic and organized individual to join our team as an Administrative and Office Assistant of our Melbourne office. This dual role will role will support our Australian Leadership Team and requires a proactive approach to our office operations and administrative tasks, ensuring efficiency and smooth day-to-day functioning. The ideal candidate will be detail oriented, comfortable in a fast-paced environment and want to grow with the company.

In this role you will be responsible for:

  • Manage office operations under the guidance of the Executive Assistant, including maintenance, mailing, supplies, equipment and shopping
  • Physical onboarding of new employees, including coordinating with IT, HR and EA to ensure successful start in the new role and office
  • Welcome and provide general support to customers, guests and travelling employees
  • Maintain office conditions and arrange necessary repairs
  • Provide essential support by serving as key point of contact, coordinating meeting logistics, communications, materials and catering
  • Coordinate travel and expense management
  • Support the team at events and conferences, communicating with customers and future employees
  • Handle multiple tasks concurrently and use own time to save time for others
  • Other administrative duties as needed

What will our ideal candidate bring to Fluence?

As a qualified candidate you have:

  • Ability to handle administrative details independently, while keeping team members adequately informed
  • Robust computer skills in MS Office - including Excel, PowerPoint and Word
  • Ability to prioritize and handle multiple assignments at any given time
  • Excellent organization, planning, time management and problem-solving
  • Proven track record of meeting or exceeding goals
  • Ability to deliver results under pressure and take ownership of assigned tasks
  • Capability to manage multiple demands and competing priorities
  • Excellent written and verbal communication ability with strong relationship building skills
  • Demonstrate the ability to handle confidential information with discretion, prioritize work to deliver outcomes, and exercise good judgment.

This role requires regular on-site presence, with an expectation of working 4-5 days per week in our CBD office, depending on workload.
