infeurope is looking for an Administrative Support, specifically for the business areas Procurement (support and control of Procure-To Pay processes) and Contracts (support and control of the operation of formal contracts for supply of products and services).
THE CANDIDATE NEEDS TO HAVE AT LEAST 3 YEARS OF EXPERIENCE.

KNOWLEDGE
- Experience in administrative assistance, procurement, budget control and monitoring ideally in an international organization or public administration,
- Experience in contract administration/management,
- Knowledge of the EU public procurement as well as best-practices,
- Understanding of the trends and developments within the Building and Facility Management sourcing market would be an advantage,
- Computer skills in Microsoft Office,
- The knowledge of PeopleSoft application would be an advantage,
- Excellent communication skills,
- Good written and spoken knowledge of English and French – additional EU languages would be an advantage,
- Tact and diplomacy.

Responsibilities:
- Close collaboration with the Project Managers and officers of the External Offices unit, Office Managers located in the client’s external offices and with the relevant stakeholders within Headquarters,
- Provide support to prepare and review purchasing and procurement documents (e.g., market analysis notes, clearance requests, vendor registrations) in collaboration with various services in the Bank and in the External offices in compliance with the client’s procurement procedures,
- Administrative support to External Offices Unit team members in the Procure-to-Pay processes and other administrative activities in relations with the unit’s operations,
- Provide overall support for the monitoring and control of the client’s external offices budget including purchasing and invoice review & approval activities ensuring compliance with the client’s procurement procedures and guidelines,
- Provide support to the budget officer checking accuracy of actual expenditures reported compared with planned budget, calculating variations, identifying trends,
- Reporting linked to the above-described activities.
