Canda Six Fortune Enterprise Co. Ltd. is one of the leading importers and distributors of Asian food products from the Pacific Rim and other regions of the world. We are currently looking for a Administrative Assistant to join our Administrative Team in Ontario.
POSITION SUMMARY:
The Administrative Assistant reports to the Operations Manager and is responsible for providing excellent clerical support to the administrative department, organizing events and meetings, and serving as the receptionist to greet visitors. This position supports various regions of the company, including but not limited to the Ontario region.
REQUIREMENTS / MUST-HAVES:
- Minimum of 1 year of administrative experience in a professional setting.
- Ability to prioritize tasks effectively in a fast-paced, deadline-driven environment.
- Flexibility to adapt to changing team priorities.
- Strong team player with excellent interpersonal skills.
- Self-motivated with exceptional organizational and multitasking abilities.
- Cultural sensitivity and respect when interacting with individuals from diverse backgrounds.
- Analytical and problem-solving skills for daily tasks and challenges.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Familiarity with virtual meeting platforms such as Zoom and MS Teams.
- Excellent written and verbal communication skills in English.
Responsibilities:
- Greet visitors, log their details, and direct them to the appropriate contacts; issue visitor passes as required.
- Operate a telephone system to answer, screen, and forward calls, take messages, and provide information in person or over the phone.
- Receive and distribute courier packages and incoming mail; maintain logs for mail and courier deliveries.
- Prepare outgoing correspondence and maintain accurate postage records.
- Arrange courier services for outgoing shipments.
- Process tele-transfers as required.
- Coordinate travel arrangements for staff.
- Monitor and order office supplies to ensure adequate stock.
- Maintain the tidiness and organization of the stationery room.
- Set up and manage manual and computerized filing systems.
- Organize company events and meetings, including distributing information, recording meeting minutes, and tracking event details.
- Oversee and train support staff on maintaining cleanliness and organization of office areas, lunchrooms, pantries, and washrooms.
- Provide clerical support and perform other administrative duties as assigned.
