Description:
THE OPPORTUNITY:
The Washington State Criminal Justice Training Commission (WSCJTC) is seeking a customer service minded, detail-oriented administrative professional with excellent communication skills to serve as an Administrative Assistant 3 in the Basic Training Division (BTD). Specifically, this position will process and maintain BTD contracts for law enforcement contract instructors. REQUIRED QUALIFICATIONS/EXPERIENCE:
- High school diploma or GED equivalent.
- At least three (3) years of progressively responsible experience in professional office, clerical, or general administrative work. Formal education may substitute year-for-year for experience.
- Experience taking initiative to ensure action is being taken and self-motivation.
- Ability to make independent decisions using sound judgment and complete tasks independently with minimal supervision.
- Strong organizational and analytic skills with the ability to pay close attention to detail.
- Ability to possess positive interpersonal and customer service skills and maintain effective working relationships with internal and external stakeholders.
- Ability to communicate in a professional manner, both orally and in writing.
- Ability to multi-task, adapt to changing priorities, and meet set deadlines.
- Excellent knowledge with all Microsoft programs including: Word, Excel, and PowerPoint.
- Ability to maintain confidentiality of restricted or private information and records, and effectively handle sensitive matters.
PREFERRED/DESIRED QUALIFICATIONS:
- Two-year college degree in a criminal justice, law enforcement, legal, or education program.
- Experience drafting, executing, and/or managing service contracts.
- Experience with database systems.
- Experience with Washington State procurement and contracting rules and processes.

Responsibilities:
DUTIES ASSIGNED TO THIS POSITION INCLUDE (BUT ARE NOT LIMITED TO):
- Coordinates contracting process for independent, direct-buy contracts for instructors and instructional assistants as requested by the Commander and Assistant Commanders.
- Draft, process, and execute direct-buy contracts. This includes detailed communication with contractors to ensure they understand requirements, coordinate receipt of required paperwork, and answer any questions about the process.
- Review required qualifications and documentations with prospective contractors to ensure contract obligations are met.
- Draft, request, and execute interagency contracts.
- Communicates often with stakeholder agencies that WSCJTC has entered into a Memorandum of Understanding for services of their employees.
- Process and maintain division agreements for services and facilities. This includes lodging, food, and facility use to support training operations.
- Coordinate travel plans for staff and instructors.
