Job Title: Administrative Assistant
Location: Cincinnati, OH - Onsite
Compensation: $17 – 20 Nonexempt (Hourly)
Schedule: M – F, 8:00AM – 5:00PM

ABOUT THIS POSITION

Advantech Corporation in Cincinnati is looking for an enthusiastic and passionate individual to join the administrative team. The primary responsibility of the position is to act as first point of contact for all visitors. Receive and direct visitors or phone calls to appropriate department or personnel. Assist and complete administrative functions for employees and the company.
Responsibilities:

PHYSICAL REQUIREMENTS:

The physical requirements described below are representative of those that must be met by an employee to successfully perform the essential functions of this job:

  • Lift, carry, push and pull 25-35 pounds.
  • Unpacking and re-packaging may be required.

Required Qualifications:

  • High School diploma or equivalent.
  • Prior experience in office administration and reception.
  • Proficiency within Microsoft Office Suite (Outlook, Words, PowerPoint, Excel).
  • Excellent written and verbal communication skills.
  • Detail-oriented and prior experience in data entry.
  • Ability to collaborate and work within a team building environment.
  • Friendly, enthusiastic, interpersonal, and outgoing characteristics and personalities

Preferred Qualifications:

  • Demonstrate critical thinking, analytical and problem-solving skills including excellent time management and multi-tasking abilities.
  • Prior experience with event planning and marketing.
  • Ability to increase engagement for company events participation through flyers and email communications

Responsibilities:

FRONT DESK DUTIES:

  • Greet visitors and guests in a personalized, friendly, and welcoming manner.
  • Direct and escort visitors and guests into the office premises.
  • Screen and forward incoming calls to appropriate departments or personnel.
  • Distribute all incoming mails and packages and handle any outgoing mails and packages. Will require use of UPS, DHL and FedEx software.
  • Provide assistance for customer visits such as preparing beverages, snacks and food, and making sure conference rooms are arranged neatly.
  • Keep track of visitors and maintain visitor badges.
  • Completes any other projects and tasks as assigned and ensures timely completion.

OFFICE DUTIES:

  • Create orders and purchase office supplies and equipment.
  • Maintain detailed records of Administration and Facilities expenses and submit expense reports to accounting in a timely manner.
  • Review inventories and restock office or coffee counter supplies.
  • Reconcile invoices for administrative vendors and customers.
  • Prepare new hire access and cubicles and represent Administration in new hire training.
  • Attend Employee Committee and prepare for company snacks, and events. This includes budgeting, scheduling, planning, catering, and cleaning.
  • Communicate internally to announce upcoming events or updates to all employees.
  • Assist with business travel arrangements and requests.
  • Reserve office buildings shared conference room through property management on request.
  • Works as liaison with buildings Property Management to ensure safe and clean office environment.
  • Update main breakroom monitor with company news and events.
  • Completes any other projects and tasks as assigned and ensures timely completion.
