Responsibilities:

SUMMARY / ROLE PURPOSE

The Administrative Assistant will support staff and will be responsible for a broad range of administrative duties. This role will be in daily contact with the Waterloo team, partners, customers, and vendors. This role requires a high level of professionalism in dealing with people leaders inside and outside the organization, and a high level of integrity and discretion in handling information.

KEY DUTIES AND RESPONSIBILITIES

  • Provide reception duties such as answering the mainline and directing calls to the appropriate employees. Greeting customers and guests that enter the premises and direct them to the appropriate area.
  • Receive courier packages and route to appropriate recipients in the company. Prepare outbound shipments properly package and arrange shipping
  • Provide general administrative support including picking up the mail and distributing it and photocopying as needed.
  • Planning meetings, training sessions, conferences, lunches and other special events both onsite and offsite. Arrange economical catering, set out food and clean up once guests are finished.
  • Maintain office supplies and janitorial supplies, check inventory and order as necessary.
  • Arrange limousine service for employees to and from the airport.
  • Provide Concur Travel guidance to employees as needed.
  • Maintain inventory of coffee and tea and coordinate with coffee and food vendor to ensure the cafeteria is appropriately stocked. Keep the kitchen area clean starting the dishwasher nightly and emptying it every morning, putting the dishes away. Perform kitchen maintenance as needed.
  • Assist Waterloo Social Committee with planning and executing special employee events.
  • Other duties as assigned.
