Description:

Applications are invited for the temporary position of Administrative Assistant, Associate Dean in the School of Business & Management Studies, located at the Daniel J. Patterson Campus. The starting hourly rate is $27.81/hr (Pay Band E - $27.81/hr to $32.24/hr) for a 35-hour work week. Additional hours may be required as necessary. This is an Appendix D, temporary position as per Article 17.3.1 of the Support Staff Collective Agreement and is set to commence in August, 2024 and will conclude in September, 2024. It may be subject to an extension by mutual agreement of the parties.
Reporting to the Associate Dean, School of Business & Management Studies the Administrative Assistant provides administrative support to ensure smooth daily operations, while maintaining professionalism in a confidential environment.

QUALIFICATIONS:

  • Two (2) year diploma in Office Administration, Business Administration, or related field of study.
  • Minimum three (3) years experience in office administration in an educational, government, or large business environment.
  • Demonstrated communication, organizational, problem solving and prioritizing skills.
  • Proven abilities in working independently, exercising initiative and good judgement, sensitivity, and confidentiality.
  • Strong customer service and public relations skills.
  • Working knowledge of Microsoft Office Suite.
  • Previous experience in College applications: FMS, EnCampus, PeopleSoft, Academic Logistics and AMPS is strongly preferred.

Responsibilities:

  • Provides excellent customer service in communicating with faculty, students, staff, and the general public.
  • Responds to or re-directs all program related inquiries (student complaints, issues, program related forms and information).
  • Prepares schedules, course information sheets, and other materials as required by faculty.
  • Orders textbooks and manuals for programs through the campus store.
  • Notifies students of class cancellations.
  • Prepares course requests, proposed program changes and course change requests.
  • Assembles materials as required for the Associate Dean, including curriculum committees, coordinator meetings, open house, and special events.
  • Organizes and maintains all document files through established office procedures for the assigned program areas.
  • Enters program loadings for full and part-time faculty into Niagara College systems.
  • Coordinates the collection of time sheets for all part-time staff and records for submission to payroll.
  • Maintains MS Outlook calendar and meeting schedules accounts.
