Job Description:
We currently have an opening for an Administrative Assistant to support our Prairie Division in our Calgary office.
This position will involve a range of administrative and office support activities to facilitate the efficient operation of our teams. You are a natural team-player who is detail-orientated and an excellent communicator with effective organizational skills. You enjoy working in a deadline driven, fast-paced environment, and consistently deliver quality work. You adapt easily to change and have strong judgement and reasoning skills, which you apply to improve systems and process. This position will also provide you with autonomy as you will be required to complete tasks with minimal supervision.

What you will be doing:

  • Assisting and coordinating project delivery (e.g. word processing, printing, document assembly, invoice review).
  • Coordinating and facilitating administrative systems and processes to allow teams to optimize work-delivery.
  • Completing editorial reviews of written deliverables for clients and other external parties.
  • Preparing reports, contract documents, letters, and presentation slides in accordance with our professional standards.
  • Assisting and coordinating proposal preparation and other business development materials.
  • Providing project administration assistance (e.g., opening and closing projects, scope changes).
  • Completing a variety of administrative tasks such as travel and meeting coordination and records management.
  • Providing occasional receptionist duties as required.

JOB REQUIREMENTS:

What you will bring:

  • 8+ years’ administrative experience preferably in a professional office environment.
  • Advanced capabilities in Microsoft Word, Excel, PowerPoint, SharePoint, and other office software.
  • Excellent oral and written communication skills.
  • Technical writing and editorial experience are an asset.
  • Prior experience in the environmental/engineering consulting industry is an asset.
  • Prior experience with marketing/business development activities is an asset.
  • Experience using graphic design software (example: Photoshop, Illustrator) is an asset.
