The Administrative Assistant to the Director for Auxiliary Services will coordinate and implement the special interests of the Auxiliary Services Units by providing administrative support to several auxiliary operations (residence halls, university rental properties, University Cleaners, dining hall, mailroom, collegiate bookstore, Holly Tree Inn, Trustee House, insurance, telecommunications, and vending).

QUALIFICATIONS:

  • Previous professional experience
  • Proficient computer skills including word, excel, outlook, and banner
  • Excellent communications skills both verbal and written
  • High energy and commitment to accomplishment

Responsibilities:

  • Answer all incoming calls to the Office of Auxiliary Services
  • Prepare and manage correspondence, reports and documents
  • Take, type and distribute minutes of meetings
  • Organize internal and external events (commencement, alumni weekend, ministers conference, opening of School, opening convocation, and senior salute) by creating and implementing requisitions
  • Order, follow thru and maintain all event supplies (linen, shower curtains, bath mats, soap, first aid kits, Blankets, pillows, blinds and mattresses)
  • Order and maintain office supplies
  • Maintain event schedules and calendars
  • Handle incoming mail and other materials
  • Process and follow thru with all incoming service requests
  • Set up and maintain filing systems
  • Prepare and manage budget documents (budget waivers, transfers and requisitions)
  • Create and maintain housing lease agreements (residence halls and rental properties)
  • Conduct routine walk thru inspections (residence halls and rental properties)
  • Cover the university switchboard when necessary
  • All other duties as assigned
