OVERVIEW

Care Connection Transportation Services is seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative and creative support to our office team. This role combines essential administrative tasks with marketing assistance and contract management, offering an exciting opportunity to contribute to both operational efficiency and company growth. If you’re detail-oriented with a strong organizational background and creative marketing experience, we’d love to meet you!

QUALIFICATIONS

  • Proven experience as an executive assistant, administrative assistant, or in another relevant role. High school diploma required; Bachelor’s degree preferred or time in a similar role.
  • Proficiency in Canva or other graphic design tools to assist with marketing collateral.
  • Strong understanding of social media platforms and marketing principles.
  • Experience with contract proposal preparation and document management.
  • Exceptional proofreading skills and attention to detail.
  • Excellent organizational skills and the ability to manage multiple tasks simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and manage competing priorities.
  • Strong problem-solving skills and initiative.
  • High level of professionalism and discretion.
  • Ability to work independently and as part of a team.

    Job Type: Full-time
    Pay: $20.00 - $23.00 per hour

Responsibilities:

  • Meeting Coordination: Prepare agendas, take meeting minutes, and follow up on action items.
  • Marketing Support: Assist with the creation of marketing materials, such as brochures, flyers, and social media content, using tools like Canva and other design software.
  • Project Coordination: Assist with project coordination by tracking deadlines, deliverables, and ensuring timely completion of tasks.
  • Contract Management Duties:Monitor contract compliance and ensure all deadlines are met. Tracking and verify that all necessary forms and paperwork are filled out correctly. Maintain an organized system for tracking document submissions and approvals.
  • Audit Control: Assist with auditing processes to ensure all contracts and documents are in order. Communicate with team members to ensure timely completion of document-related tasks.
  • Social Media: Support the management of social media accounts, including content creation, scheduling posts, and tracking engagement.
  • Contract Proposals: Assist in preparing and submitting contract proposals, ensuring all necessary documentation is complete and accurate.
  • Proofreading: Review and proofread internal and external documents, including marketing materials, contracts, and correspondence, ensuring accuracy, clarity, and professionalism.
  • General Office Support: Answering and directing phone call, Managing office supplies (restocking, ordering), Organizing and maintaining filing systems (physical and electronic). Managing office cleanliness (dusting, tidying up common areas).
  • Clerical Support: Data entry and updating records, Printing, scanning, and copying documents. Preparing and organizing documents for meetings.Confidentiality: Maintain discretion and confidentiality in dealing with sensitive matters.
  • Special Projects: Take on additional tasks and projects as needed to support the team.
