ADMINISTRATIVE ASSISTANT: FARGO

Catholic Charities North Dakota is looking for an outgoing, organized and multifaceted Administrative Assistant to join our Fargo team! This position is in person, full time, Monday through Friday, and we close our offices at noon on Friday so you can start your weekends early! Catholic Charities North Dakota is a mid sized, non profit agency with multiple departments serving clients across the state. This position will be located in our Fargo office at our front desk. Responsibilities and duties are included but not limited to below:
Job Summary:
The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

Duties/Responsibilities:

  • Answers and transfers phone calls, screening when necessary.
  • Receives and distributes office mail.
  • Welcomes and directs visitors and clients.
  • Maintains office supplies, breakroom/mailroom, and coordinates maintenance of office equipment.
  • Assists PQI Coordinator with data collection and reports.
  • Schedules and ensures paperwork is completed for the counseling department.
  • Assist Accounting department with cash deposits and tracking.
  • Participate in Agency events throughout the year.
  • Assist Executive Director with administrative tasks when needed.
  • Performs administrative duties of a confidential nature for all agency divisional staff and any other duties requested by the appropriate program Directors.
  • Perform administrative duties related to the operations of the human resource department
  • Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
  • Create and post job openings and assist with employee onboarding
  • Utilize HRIS to maintain employment information
  • Assist with preparation of human resource reports
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems
  • Experience with Accounting software systems
  • Ability to work independently.

Education and Experience:

  • High school diploma or equivalent required.
  • Administrative training required.
  • Two years of administrative assistant experience preferred.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
