POSITION OVERVIEW:

Children’s Home Society is a leading provider of services to vulnerable men, women, children, and families in South Dakota. As a Full-Time Administrative Assistant, you will be responsible for providing administrative/clerical/planning support to the Child Advocacy Center and Clinical Outpatient teams in multiple locations and serve as receptionist in accordance with the organization’s Mission, Vision, and Values.

Responsibilities:

Your responsibilities as a Full-time Administrative Assistant would include:

  • Greet staff, board members, other professionals, and clients/youth.
  • Answer telephones, route callers, and distribute messages.
  • Receive and distribute incoming mail and prepare and post outgoing mail.
  • Schedule fleet vehicle appointments and therapy sessions, as assigned.
  • Assimilate and type reports, notes, letters, forms, and related materials, as assigned.
  • Notify and prep for meetings, track meeting schedules, and type meeting minutes, as assigned.
  • Perform data entry as assigned.
  • Perform filing duties as assigned.
  • Send reports as appropriate.
  • Assemble Advocate folders for CAC staff.
  • Track program statistics and report as appropriate.
  • Track timeliness of documentation/training, as assigned. (TFC license dates, client medical appointment dates, Master Treatment Plan/Reviews, Psychiatric appointments, assessments/evaluations, discharges, fleet vehicle mileage/maintenance/etc., client trainings, staff trainings.
  • Process billing and invoices, as assigned.
  • Participate in quality improvement activities, as assigned.
  • Participate in required in-service training.
  • Process and assist with mass mailings.
  • Provide upkeep of kitchen area, conference room, mail room, and other common areas.
  • Prepare and set up board meetings and other teleconference meetings by connecting equipment, arranging meals, etc.
  • Provide notary services, as assigned.
  • Make travel accommodation, as assigned.
  • Collaborate with Outpatient Clinical Business Manger to support operations, as assigned.
  • Assist in other duties, as assigned.
