JOB DESCRIPTION:

The Administrative Assistant provides highly skilled, diversified, confidential, and administrative support of an executive nature to a senior executive of US CIB Credit business, performing activities requiring considerable discretion and independent judgment. Works with persons at all levels of the company, as well as client CEOs and other external senior management This individual will handle highly confidential materials and serves as an intermediary with TDS partners and important clients.
• Performs complex administrative duties for a Senior Executive and several senior bankers, including meeting coordination and travel. • Books domestic and international travel for a Senior Executive. • Connects clients to senior executives and receives visitors. • Responds to telephonic inquiries independently and, as appropriate, assists in setting team priorities. • Interacts with other functions at TDS regarding confidential files and records. • Manages the office of a Senior Executive and requires comprehensive knowledge of executive operations, policies, practices and personnel. • Coordinates and facilitates high-level executive functions with wide latitude for independent judgment. • Schedules appointments and coordinates arrangements for meetings, conference and travel itineraries. • Performs a variety of duties to conserve the time of the executive, such as keeping and submitting travel expense records and other personal business items as directed. • Demonstrates a high level of tact and discretion due to the frequency of high level internal and external contacts.

The Administrative Assistant - TDS provides highly skilled administrative support. Performs complex and technical activities. Works with individuals at all levels of the company, as well as external organizations and Customers. Handles confidential materials. Facilitates management details and serves as an intermediary to relieve executive/manager of administrative responsibilities and details.

  • Provides top level clerical or specialized administrative support
  • Performs multiple and diverse tasks that cover a wide range of complexity
  • Proactively exercises discretion and has autonomy to make decision within generally defined parameters
  • Generally supports a large group/team (8 to 20+) and/or an SVP role or above
  • Coordinates and executes routine and non-routine administrative tasks
  • Collects, compiles, and analyzes moderately complex data and information, producing reports to be used by manager or department professionals
  • May conduct record keeping that requires a general knowledge of accounting and budgeting procedures
  • May monitor performance of budget, reviewing variances with manager
  • May provide direct assistance and support in staff activities
  • Coordinates, executes and completes a variety of special projects and administrative assignments through planning, development, organization, analysis and implementation
  • Provides administrative project support, using various software packages to produce high quality reports, presentations, and/or other documents

EDUCATION & EXPERIENCE:

  • High school diploma or GED
  • 2+ years related experience required
  • Ability to provide consistent support prioritizing tasks based on departmental priorities
  • Strong administrative skills, including software applications
  • Strong English grammar and proofreading skills
  • Ability to work independently and as part of a team, providing high quality Customer service
  • Strong written and verbal communication skills
  • Ability to operate standard and specialized office equipment
  • Ability to handle sensitive or confidential information
