POSITION SUMMARY

CIMCO Refrigeration is looking for a regular full time Administrative Assistant for the Saskatoon Branch Office. This role will appeal to you if you are a highly organized professional who takes pride in the accuracy of your work, attention to detail and ability to exceed customer needs in a timely manner on a consistent basis.
The successful candidate will be responsible for answering service calls and coordinating manpower, material and equipment to meet customer needs. The successful candidate will work closely with the Service Manager to ensure all work is scheduled and completed as required. Furthermore, you will assist in ensuring staff compliance with all corporate safety policies and procedures.

REQUIRED PROFESSIONAL KNOWLEDGE, SKILLS & QUALIFICATIONS

  • Post-secondary education preferred
  • Proficiency in MS Word, Outlook, Excel
  • Ability to deal directly with customers in a professional matter
  • Strong organizational, planning, written and verbal communication
  • Strong time management skills
  • 1-2 years’ experience in an office environment
  • Experience with SAP ERP system
  • Experience working in dispatch / service coordination
  • Able to work effectively with little direct supervision
  • Detail orientated and able to multi-task while working under time constraints
  • Ability to deal with sensitive or confidential issues efficiently and professionally
  • Able to adapt and change in a fast paced work environment
  • Able to handle physical duties (lift up to 50 Lbs)

Responsibilities:

  • Coordination of service jobs
  • Handle incoming customer calls
  • Create service orders and input in SAP system
  • Dispatch mechanics and maintain overall schedule
  • Review of customer service reports and timesheets for quality control purposes and compliance
  • Liaise with parts suppliers, sales, billing, warranty and engineering departments
  • Ordering/coordination of parts and materials
  • Maintain inventory and warehouse control
  • Shipping and receiving in the warehouse including forklift operation when needed
  • Assist in ongoing aspects of corporate safety program
