Description:

The administrative assistant will be part of the Clinical and Epidemiological Investigation Center (CIEC) group in the Translational Medicine Operations Hub. He/She will support the clinical projects in three main aspects:
Administrative support: Reception: participants, deliveries, shipments, technicians & visitors / Provide support to visibility event organizers / Car management (Follow-up table, reservations, revisions) / Administrative readiness (copiers, pen, papers, patient binders,..) / Nurse manager secretary (Team appointments, nurse meeting management, ..)
Data management/ study support activities: Data upload in study databases / Participants appointments follow-ups / Translations
Recruitment/patient retention: Maintain volunteer database / Recruitment calls / Manage FUP appointments

KEY ACCOUNTABILITIES

  • Call the potential participants, explain the study, and answer questions,
  • Administrative follow-up of the participants in the studies,
  • Answer phone calls and emails from participants
  • Help participants with technical problems linked to the study documents,
  • Update the study files to trace the activities,
  • Support the team in day-to-day tasks.

KEY SKILLS, EXPERIENCE AND QUALIFICATIONS

  • Medical/health background or biological knowledge is an asset,
  • Excellent communication and convincing skills,
  • Multidisciplinary team working abilities, meticulous, autonomy,
  • Comfortable with computer tools (Word, Excel, database..),
  • Availability to work on Saturdays,
  • Ability to work with different profiles and people from different experiences and cultural backgrounds,
  • Language skills: Fluency in French and Luxembourgish mandatory,
  • Any other language in use in Luxembourg would also be an asset
