About the role
We are currently looking for a dedicated and organized part-time Administrative Assistant to support our busy Executive Assistant with general administrative tasks. Our ideal candidate is a dynamic and positive individual who loves to bring joy to the workplace. In this role, you’ll not only handle administrative tasks with efficiency and a smile, but also take the lead in organizing after-work activities and social events. QUALIFICATIONS:

Previous experience in an administrative or service-related role required.
Strong organizational and time management skills.
Excellent written and verbal communication skills in both Swedish and English.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and as part of a team.
High level of attention to detail and accuracy.
Flexibility to adapt to changing priorities and tasks.

This role reports to our Executive Assistant.

Responsibilities:

Assist the Executive Assistant with daily administrative tasks.
Maintain and update records and files, such as contracts etc.
Coordinate the preparation, notarization and legalization of legal documents.
Coordinate travel arrangements and itineraries.
Organize social events, such as Christmas parties, after-works etc.
Manage meeting logistics, such as room bookings, lunch orders, coffee etc
Perform other administrative duties as assigned.
Manage and organize schedules, appointments, and meetings.
Handle correspondence, emails, and phone calls.
Provide cover/support for reception as needed
