Description:

Overview:
Walbridge has an excellent opportunity for an administrative assistant to support a variety of construction project needs in the Orlando area. This individual will work closely with our project managers, cost analyst, engineers, and superintendents to organize and manage the various project administrative requirements associated with our client, vendor and stakeholder needs.

Responsibilities:

  • Foster teamwork and working rapport with peers, project team members and office personnel
  • Publish Job Start Up-Set up welcome letters and other required forms
  • Assist with change management and subcontractor change order handling
  • Assist with AIA monthly billings and subcontractor billing
  • Assist with compiling of reimbursable cost invoices for monthly billing
  • Processing and tracking of owner direct purchases
  • Monitor subcontractor insurances
  • Tracking of Notice to Owner log
  • Payment coordination through Textura, including waiver collection
  • Set up files in Sharepoint, and upload files as needed

Qualifications:
We are looking for a detail oriented team player with the ability to multi-task in a fast paced environment, produce quality work, and meet deadlines.

The successfully candidate will possess:

  • 5 years of administrative experience and responsibilities.
  • Excellent interpersonal skills are required to interact with customers, vendors, suppliers and sub-contractors on a positive basis.
  • Proficient computer skills in Excel and Word
  • CMIC and / or Textura experience a plus
  • A background in construction is a plus
  • A can-do attitude, and willingness to learn
