The Administrative Assistant role provides top-level support and assistance to the Operations Director and Senior Management Team. This position is critical to ensure an efficient and smooth day-to-day operation of the Costa Rica Manufacturing Plant. This role’s responsibilities include managing the Costa Rica Leadership Team’s meetings schedule and calendar, coordinating meetings and site’s internal communications, organizing travel arrangements & itineraries as requested, assisting with data reports and executive presentations, and other requested activities.
- Office Administration Degree. University studies in Business Administration, Communications or project management are a plus.
- Previous experience as an office administrative assistant and communications.
- Be able to work to high standards of quality while maintaining confidentiality and discretion.
- Knowledge of office management systems and procedures.
- Excellent written and verbal communication skills both in English and Spanish.
- Attention to detail and problems solving skills.
- Strong time management skills with the ability to multi-task and prioritize work to successfully meet deadlines is required.
- Working knowledge of office equipment.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Being open to learning new things while maintaining a positive and energetic attitude

- Manage the executive’s calendar, including scheduling internal and external meetings.
- Attend operations meetings and take detailed minutes. Organize follow-up meetings (if requested) and ensure completion of action items.
- Assist in preparing regular reports and presentations.
- Handle internal and external communication strategies, including Town Halls, internal publications, and social media posts.
- Serve as the main point of contact for internal and external clients.
- Arrange travel and accommodations as needed.
- Complete expense reports and other paperwork on behalf of the Operations Director.
- Procure office supplies.
- Safeguard confidential information.
- Compose and distribute emails, correspondence, memos, letters, and forms.
- Answer phone calls and record detailed messages.
- Develop and maintain a filing system.
- Offer general support to visitors.
- Translate documents.
- Fulfill other tasks as requested by the management team.
Responsibilities:
