JOB SUMMARY:

A Commercial HVAC/R company is seeking a versatile and proactive Administrative Assistant with a primary focus on supporting government and local agency client contracts. This role will also provide crucial support to management and account managers, handling various administrative tasks and ensuring smooth cross-functional communication.

QUALIFICATIONS:

  • Proven experience in an administrative or support role, with exposure to government contracts or the HVAC/refrigeration industry a plus.
  • Experience with prevailing wage is preferred.
  • Strong organizational and multitasking skills with a focus on project management and execution.
  • Excellent written and verbal communication abilities.
  • Proficiency in Google Suite (Docs, Sheets, Slides) and experience with CRM or contract management software.
  • High levels of responsibility, integrity, and accountability in managing tasks and client relations.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Professionalism and attention to detail in handling sensitive information and documentation.

Responsibilities:

  • Government & Local Agency Contracts: Assist in managing the preparation, submission, and ongoing maintenance of government and local agency contracts, ensuring timely compliance with all regulations.
  • Support for Account Managers: Provide essential administrative support to account managers by organizing job schedules and communicating updates to clients.
  • Invoicing and Documentation: Prepare and manage invoices related to government contracts and service agreements, while maintaining accurate records and documentation.
  • Administrative Support: Handle routine office tasks such as answering phones, emails, organizing supplies, and managing office facilities as delegated by management.
