REQUIRED QUALIFICATIONS:
- High school diploma or equivalent
- Five years of experience as an Administrative Assistant or similar role supporting executives or senior leaders.
PREFERRED QUALIFICATIONS:
- Associate’s or Bachelor’s Degree
- Must be proficient in the use of Microsoft Office products, typing and computer technology.
- Must be able to prioritize, organize and multi-task, working effectively in a deadline-driven environment.
- Must have strong written communication skills including grammar, punctuation, proofing, and attention to detail in producing documents with a high level of accuracy and professionalism.
Responsibilities:
- Under the direction of the Director of Executive Services, provides effective and efficient administrative support functions, including but not limited to:
- Schedules, organizes, and coordinates meetings, seminars, trainings, and events, including logistics, catering, travel, lodging and other arrangements.
- Supports various department functions in the areas of safety, training, and HR; provides assistance with procedures or processes such as OSHA reporting, worker’s compensation, clothing allowances, hiring, and onboarding, and other needs as they arise; maintains confidentiality of information and records.
- Assists with executing financial processes including reconciliations, expense reports, invoices, reimbursements, as well as other accounting tasks.
- Creates various electronic documents such as letters, forms, memos, presentations, and newsletters; maintains paper and electronic files.
- Communicates with a high degree of professionalism with both internal and external stakeholders.
- Attends internal and external meetings as needed to prepare accurate notes or formal minutes and track action items.
- Maintains office supplies inventory, anticipating needs and managing ordering process.
- Performs general clerical duties such as filing, mail processing, faxing, photocopying, etc.
- Provides backup to Director of Executive Services in support of the DEA Board of Directors and Executive Leadership Team.
- Assists with other duties, as assigned, and participates in special projects as required to maintain a safe and efficient business operation.
