JOB OVERVIEW

We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will be responsible for managing daily administrative tasks, ensuring smooth office operations, and providing support to various departments. This role requires excellent communication skills, proficiency in office management software, and the ability to multitask effectively in a fast-paced environment.

SKILLS

  • Strong communication skills with the ability to convey information clearly and effectively. English is essential. French would be an asset.
  • Proficient in phone systems and handling inquiries professionally.
  • Experience in clerical work with a keen attention to detail.
  • Familiarity with SAGE Professional Accounting or similar accounting software is preferred.
  • Advanced knowledge of Microsoft Office Suite
  • Solid administrative skills with a focus on detail, organization, and time management.
  • Ability to work independently as well as part of a team in a dynamic environment.

Responsibilities:

  • Manage incoming calls and emails with professionalism and courtesy, demonstrating strong phone etiquette.
  • Present as the first point of contact for customers
  • Oversee clerical duties such as filing, data entry, and maintaining organized records.
  • Utilize SAGE Pro Accounting for basic accounting tasks, and invoicing
  • Assist with the coordination of office activities, preparation of estimates, scheduling of upcoming projects, and follow-up on jobs in progress
  • Maintain office supplies inventory and place orders as necessary to ensure uninterrupted operations.
  • Assist with fleet management
  • Coordinate meetings, prepare agendas, and take minutes as required.
  • Support various administrative functions across departments to enhance productivity.
  • Implement efficient office procedures to streamline operations.
