In this critical role, you will ensure efficient office operations by providing administrative support and managing front desk responsibilities. The ideal candidate will possess exceptional organizational abilities, excellent communication skills, and a proactive approach to problem-solving. This role requires the ability to multitask, prioritize tasks effectively, and handle various responsibilities simultaneously.

Responsibilities:

As an Administrative Assistant, your role will encompass a wide range of responsibilities; here are a few:

  • Greet and welcome visitors in a professional and friendly manner.
  • Manage incoming calls, redirecting them appropriately or taking accurate messages.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain a clean and organized reception area.
  • Calendar Management: assist with scheduling appointments, meetings, and conference rooms.
  • Coordinate travel arrangements and accommodations for staff members when necessary.
  • Assist in preparing reports, presentations, and correspondence.
  • Handle sensitive and confidential information with discretion.
  • Draft and proofread reports and letters.
  • Manage and maintain office supplies inventory, anticipating future needs and placing orders as required.
  • Support senior staff as needed.
  • Ordering lunch or breakfast for meetings when needed
  • Cover support for peer admins as needed.
  • Other duties as assigned

What You Need:

  • High school diploma or equivalent education required. College diploma preferred.
  • At least 5 years of related experience required.
  • Excellent organizational skills and attention to detail.
  • Ability to function well in a fast paced environment.
  • Proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Employ sound judgement and problem solving skills.
  • Experience scheduling and managing multiple calendars.
  • Experience booking travel and logistics.
  • Ability to multi-task and prioritize work to meet deadlines.
