Nature of the Position
The District of Sechelt is seeking an experienced Administrative Assistant to join our Engineering and Operations team.
A key position within a busy and dynamic division, the Administrative Assistant’s responsibilities include: drafting correspondence, compiling reports and presentations, liaising with the public, processing financial documents, receiving application documents, publishing content for the District website, agenda setting, minute taking, coordinating in-person, virtual and hybrid format meetings, and maintaining databases and central files.
Required Competencies
Applicants must have completed Grade 12 (or equivalent); an Administrative Assistant Certificate program at a business school or college (or equivalent training); a minimum of 2 years’ experience providing clerical support in an Administrative Assistant capacity or be able t0o demonstrate an acceptable combination of knowledge, skills and progressively responsible experience.
Applicants must be highly proficient with MS Word, Excel, Outlook, Acrobat Pro and video conferencing software such as Zoom and MS Teams; be skilled in minute-taking and have a minimum typing speed of 50 wpm. Other requirements include the ability to work under pressure and meet tight deadlines; demonstrate excellent written and verbal communication skills while exhibiting tact and diplomacy; be detail-oriented, highly organized and demonstrate excellent time management skills; offer excellent internal/external customer service; and work effectively in a team-oriented environment.
Applicants must be adept at multi-tasking and balancing a varying workload with competing priorities and be knowledgeable in general office procedures and practices. Applicants must be able to attend off-site as well as evening meetings and record accurate and comprehensive minutes of meetings. Applicants must have the ability to lift and carry light to moderate weight objects; move chairs, tables and other meeting equipment into place; and test, set-up and operate audio-visual and recording equipment and associated conferencing software required for public meetings. The Engineering and Operations Division requires the ability to learn and adapt quickly in an ever-changing environment where new technology is used to drive efficiency.
Working Conditions
This is a full-time unionized position within the BCGEU. This role is temporary in nature until the return of an incumbent on leave, estimated to be January 2026, after which it will convert to regular, full-time. The wage for this position is grid 6 $30.38 – $33.75 per hour, plus 9.8% of straight time pay during the temporary status, in lieu of scheduled vacations, paid holidays, health and welfare benefits and other paid leave. The hours of work are 35 hours per week, Monday through Friday. Flexibility is occasionally required to work evening meetings in a relief capacity.
