Our growing and expanding company is looking for a “right hand person” who can manage the daily administrative task load. We are seeking a highly organized and proactive Administrative Assistant to join our small business. Currently we are working from home and occasionally meet in a common space, however we plan to lease office space in the Polo Park area by May 2025. We are looking for an individual that is a self-starter with strong problem-solving skills and a talent for creating and maintaining efficient organizational systems. Project management experience and skills would be an asset!
QUALIFICATIONS
- Business Administrative/Office Diploma an asset
- Skilled with google suite products including gmail, sheets and docs
- Familiar with, or willing to learn, Smartsheet
- Excellent English communication skills, both verbal and written.
- Self-starter with strong problem solving and organizational skills.
- Capacity to organize workload, set priories, and work with tight timelines
- Ability to analyze information from various sources to identify issues and provide solutions.
- Independent learner who takes initiative without being prompted.
- Must have a talent and love for creating and maintaining efficient organizational systems.
- Ability to work independently as well as part of a team.
- Attention to detail and commitment to maintaining high standards of accuracy.
- Ability to lift up to 50lbs without assistance.
ADDITIONAL REQUIREMENTS
Able to work flexible hours
First Aid
Class 4 drivers license a bonus

Responsibilities:
- General administrative duties.
- Provide courteous and professional customer service.
- Complete special projects and conduct research and analysis (e.g., daily, weekly and monthly reports), and perform process analysis and innovation.
- Support the implementation of office and service policies by setting up procedures and standards.
- Achieve cost savings through maximizing utilization of suppliers, preferred vendors/contractors and identify additional efficiency opportunities.
- Help maintain operational accountability by tracking key metrics and preparing reports.
- Provide administrative support for the office leader’s strategic initiatives and projects
- Compile data, statistics and other information.
- Order office supplies and maintain inventory.
- Other duties, as assigned.
