We are currently seeking an Administrative Assistant to join our Canadian based company. As an Administrative Assistant at Paired, you will play a crucial role in supporting the day-to-day operations of our company and ensuring efficiency and effectiveness in various administrative tasks.
REQUIREMENTS:
- Previous experience as an administrative assistant or in a similar role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to prioritize tasks and work independently
- Attention to detail and problem-solving skills
- Ability to maintain confidentiality of sensitive information
- Knowledge of office management systems and procedures is a plus
Responsibilities:
- Assign workflow to staff
- Manage staffing and expected billable hours
- Invoicing clients and managing direct deposits, etc.
- Light bookkeeping/management of our firms’ banking
- implement AI where possible within our firms’ administrative processes
- Coordinating client communications and appointments
- Maintaining and organizing client files and records
- Supporting the implementation and maintenance of accounting software and tools with clients and staff
- Overseeing document management systems
- Assisting with marketing and client outreach initiatives
