Description:
The Granite Club is looking for a an Administrative Assistant who will provides administrative support to the CEO’s Office at the Granite Club. The Administrative Assistant will be reporting to the Corporate Secretary.

Primary Responsibilities
- Manage and coordinate all administrative duties and responsibilities for the CEO’s Office including:
- Schedule and coordinate meetings
- Draft correspondence and coordinate Member mailings as required
- Receive and action phone calls
- Manage information requests
- Create purchase orders and reconcile expense reports
- Attend meetings as requested and assist with minute taking when required
- Prepare meeting packages and other related information as required
- Assist in the preparation of presentations for internal meetings as required
- Coordinate various Board functions
- Act as back up for the Board of Directors’ information portal and Board Correspondence in Corporate Secretary’s absence
- Coordinate various Board functions and events
- Assist in the coordination of the Annual Meeting of Members
- Assist in the coordination of Member feedback and survey mechanisms
- Coordinate and distribute Club wide and statutory hours of operation as needed
- Maintain Member recognition programs as required
- Coordinate Art and Heritage related initiatives
- Other tasks as may be requested from time to time
Required Qualifications
- Community College or apprenticeship or 3 years of relevant experience required; education or experience in the hospitality or service industry an asset
- High level of computer literacy including word-processing and spreadsheet; literacy in presentation software an asset (i.e. Word, Excel, PowerPoint, G-Suite)
- Basic accounting skills
- Superior knowledge of the written and oral English language, superior knowledge of grammar and spelling with strong proofreading skills
- Strong organizational and interpersonal skills; ability to deal with a cross-section of internal and external stakeholders in an efficient, timely and congenial manner
- Strong right hand with ability to prioritize and multitask on a consistent basis
- Strong ability to organize, simplify, streamline
- Big picture focus but strong attention to detail
- Responsible with integrity and ability to maintain confidentiality
- Self-starter with strong initiative and positive enthusiasm
- Mature personality
