Overview:

G&A Partners’ client is currently seeking an Administrative Assistant to join their team in Arlington, TX.

Responsibilities:

  • Filing tenant files and vendor files
  • Answering property phone calls and visitors to the management office
  • Research payments for vendors.
  • Help obtain operational and construction bids.
  • Assist in preparation of service contracts and AIA contracts.
  • Assist with the budget process.
  • Open access points on site for vendors as needed.
  • Provide administrative support for the Marketing Director
  • Assist external marketing director with execution of onsite marketing activations and events including distribution of onsite marketing materials and coordination of operations, security, external vendors, etc. for a successful event.
  • Field initial incoming calls re: event sponsorships and not-for-profit onsite events with sponsorship participation
  • Enter sales in Yardi PM system and reach out to tenants to obtain sales.
  • Tenant and vendor insurance certificate tracking
  • Apply Cash Receipts for tenants.
  • Review A/R and address delinquency as needed.
  • Maintain Tenant contact list in Yardi PM system.
  • Maintain Vendor contact list.
  • Collect and track HVAC and other maintenance Contracts from tenants.
  • Preparation of special projects on an ad hoc basis

Qualifications:

  • 2-3 years experience in commercial/ retail real estate
  • Higher Education a plus, but not required
  • Knowledge of AVID Exchange and Yardi, preferred
  • Proficient in Excel & Word
  • Basic knowledge of real estate
  • The ability to read and interpret complex tenant leases
