JOB DESCRIPTION

We are looking to hire a top performing Administrative Assistant to support diverse teams. A successful Administrative Assistant should have excellent interpersonal skills, attention to detail, quality focus, possess a “can-do” attitude, high energy and flexibility to a high-paced environment.
As an Administrative Assistant, Global Banking within our Philippines team, you will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making for the executive, their team of managers, and other stakeholders. You bring years of experience while being very adaptable, and welcoming change. You will also need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen and deliver flawless work output.

REQUIRED QUALIFICATIONS, CAPABILITIES, AND SKILLS:

  • Minimum of 3 years’ experience in an Administrative Assistant role
  • Experience in a professional or financial services environment
  • Effective inter-personal and partnership skills, i.e. develop relationships with peers, clients etc.
  • Open to take on increased and/or new responsibilities at any time
  • Tactful and good judgment in confidential situations and proven experience interacting with senior management
  • Ability to adapt procedures, processes, and techniques to the completion of assignments
  • Excellent telephone etiquette and experience in calendar management

Responsibilities:

  • Managing and handling complex and detailed calendars, dealing with multiples and or urgent meeting conflicts, setting up of meetings, room bookings and conference calls, internally and externally, as well as handle all associated logistical aspects.
  • Working in a fast paced, ever changing environment and to effectively handle multiple priorities with a calm, professional and willing attitude.
  • Handling telephone coverage with the ability to answer phones professionally, address issues or redirect as appropriate, and distribute messages in a timely and appropriate manner.
  • Coordinating travel arrangements (including air, hotel accommodations and ground transportation); preparing detailed itineraries, required travel visas/documents, and assuring accuracy and timely delivery of plans/tickets to travelers.
  • Processing invoices and travel & expense claims for team members timely. Ensuring all policies are followed and items are processed within provided guidelines. Acting as a subject matter expert for policies and procedures.
  • Assisting with staff onboarding including requesting equipment set up and system access requirements
  • Assisting with data input, spreadsheet management and presentation preparation including organizing printing
  • Assisting with overflow, special projects, assistant back-up coverage and day-to-day tasks
