Description:
Are you ready to make a difference in the lives of cancer patients? We’re seeking an Administrative Assistant who thrives in a dynamic environment and is passionate about providing exceptional care. As part of our team, you’ll play a crucial role in ensuring the smooth operation of our busy office, supporting our dedicated clinical staff, and making a positive impact on patient experiences.
This role supports the check-in and scheduling of our oncology unit at the Hillman Cancer Center in Shadyside. This position works 8:00am – 4:30 pm Monday through Friday. No evenings, weekends, or holidays are required!
Responsibilities:
- Answer, Screen, and Route Calls: Manage incoming calls and messages, responding to routine questions and directing inquiries to the appropriate staff.
- Visitor Management: Greet, screen, and direct visitors to the right team members, ensuring a welcoming atmosphere. Arrives all patients in the system for office visit, labs, and chemo. Direct to appropriate area by assisting if needed.
- Under direct supervision, provides general administrative support to a department or group of professionals.
- Orders office supplies and maintains office equipment.
- Helps supervisor and department prepare presentations (i.e., edits, prints, basic formatting functions).
- Sorts, distributes, prioritizes and composes routine correspondence following established procedures not requiring management review. (i.e., reads correspondence/ highlights important items and sends to supervisor, sends emails sent on behalf of dept head, writes and sends meeting reminders, forwards emails to appropriate distribution list on behalf of department head).
- Performs routine clerical functions, such as copying, sorting, filing, and typing. Sets up and maintains varied office files, logs, and records office activities.
- Assist in researching, drafting, and/or abstracting routine reports. Compiles and analyzes basic information.
- High School diploma or equivalent is required.
- Previous experience in a medical office or healthcare preferred.
- Working knowledge of word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
- Ability to use applicable MS Suite products.
- Knowledge of business processes and procedures
